Tasks from Notes: Extracting Assignments, Owners and Deadlines
The Action item extractor pulls assignments, owners and deadlines from text, marking missing details as unspecified. It is not a substitute for careful reading, but an accelerator for rough marking. In this article we will explore how working with the tool works, what it does exactly, what requires your check, and in which cases it is better to avoid it.

You open the web form, paste your note text into the "Source material" field and, if needed, add clarifications into the "Context and requirements" field. Then you select the output language and press the Generate button. The result appears in a separate panel: it is a structured list of tasks with phrasing, assignee and deadline. If the text contains no name or date, the service marks them as unspecified, rather than inventing data.
The ready result can be copied or downloaded as a plain text TXT file. No automatic saving, notification sending or integration with task trackers is provided. It is a single-page tool: you paste text, get the breakdown, and take the result.
There are volume limits: up to 8000 characters in the source material field and up to 1000 characters in the context field. For most working notes and meeting protocols this is enough, but long transcripts have to be split into parts and processed separately.
Source material: "Call the supplier tomorrow. Maria will update the price list by Wednesday." Result: 1) Call the supplier — assignee: unspecified, deadline: tomorrow. 2) Update the price list — assignee: Maria, deadline: Wednesday.
What the Service Does Well
The tool reliably finds explicit assignments expressed by action verbs: "prepare", "send", "approve", "call". It also extracts assignees if they are named directly: "Anna", "marketing department", "Ivan Petrov". Deadlines in the format "until Friday", "tomorrow", "by 15 May" are usually recognized correctly.
If you have many similar notes, the service saves time on initial marking. You quickly get a rough task list that only needs checking and supplementing. This is especially useful when you need to sort through accumulated records after a series of meetings.
However, the tool does not interpret implicit agreements. The phrase "discussed the budget" is a topic of conversation, not a task. The service may mistakenly treat it as an assignment, so always verify the result against the original text.
Note: "Discussed the budget for the quarter. Need to request a quote from the finance department by the 10th. Petya will prepare the presentation." The service may extract "request a quote" and "prepare the presentation", but "discussed the budget" is not a task.
What to Check Manually After Generation
First: make sure all real tasks made it into the list. The tool may miss an assignment if it is formulated non‑standardly or hidden in the middle of a paragraph. Go through the source text and verify the items.
Second: check the assignees. If the service marked an assignee as unspecified, that does not mean one is absent. Perhaps a pronoun was used or the context is clear only to you. In such a case type the name manually.
Third: clarify deadlines. The tool may misinterpret relative dates, such as "end of the week" or "after the holidays". If the deadline is critical, recheck against the calendar and correct. Remember: the service does not guarantee accuracy; it is merely a draft.
In a note: "Do it by the end of the month." The service may leave "end of the month" without converting it to a specific date. You need to determine yourself what that means in your calendar.
When the Tool Is Not Suitable
If notes contain many implicit tasks, irony or complex references, the tool will err. The phrase "need to figure something out with supplies" does not give a clear action. The service may either skip it or formulate it too vaguely.
Do not use the tool for confidential data if you are unsure about the processing policy. Although the service does not save the text, it still sends it to a server for processing. For especially sensitive information, better do a manual review.
The tool works only with text. If you have audio or video recordings of a meeting, first you need a transcript by another means, then paste the text into the field.
Note: "Need to figure something out with logistics." The service will most likely not create a task, because there is no concrete action. You will have to formulate it yourself.
How to Effectively Combine Manual Work and the Service
The best approach: use the service for initial extraction, then manually edit the result. This takes less time than a full manual review and reduces the risk of missing a task.
Break the process into three steps. Step 1: paste the note into the service and get a rough list. Step 2: compare it with the source text, add what was missed and clarify assignees and deadlines. Step 3: move the final list to your task manager or notebook.
If there are many notes, process them one by one. The service does not support batch processing, so each note has to be entered separately. However, you can set the context for each note, for example specify that all dates refer to the current month.
For a note about a supplier meeting set the context: "Consider today 15 May. All dates without a year refer to 2025." This helps the service determine dates more accurately.
Typical Errors and Limitations
The service may err in names: for example, take a department name for a person. Or conversely, fail to recognize a name if it is misspelled. Always verify the assignees.
Another error: the tool may combine two tasks into one if they stand next to each other and relate to one person. For example, "Maria will update the price list and send the clients" may turn into a single task. You need to split it manually.
Do not forget that the service does not check spelling and does not correct typos. If there is a typo in a name or date in the note, the result will have an error. Therefore it is important to proofread the source text before pasting.
Note: "Ivan and Petya will prepare the report." The service may create two tasks: "Ivan will prepare the report" and "Petya will prepare the report." This is correct, but if a joint report was meant, you will have to combine them.
The Action item extractor is a helper, not a replacement for your attention. It speeds up extraction of tasks but requires verification. Use it for rough work, and leave final responsibility to yourself. Then you will get both speed and quality.
