Business Reply: How to Check and Improve a Draft Letter
The 'Business Reply' tool helps you quickly formulate a professional message with a clear position and next step. You fill in three fields: original text or idea, available time and desired result, then select the output language and press 'Generate'. The ready text appears in a separate panel, from where you can copy or download it as plain TXT. However, the generated response is a draft, not a final letter. Below we will examine how to evaluate its quality by three criteria: accuracy, completeness and suitability for sending.
Open tool: Work message writer ↗What the tool does and does not do
"Business Reply" is a text generator. It takes a situation description, deadline and goal as input and returns one business message option in the selected language. There are no style presets, tone sliders or editing levels in the interface: you work with a plain web form and text fields. The result appears in a separate panel, from where you can copy or download it in TXT format.
Important to understand the boundaries: the tool does not send letters, does not automatically save history, does not integrate with email and cannot process multiple requests in batch. Export is available only in TXT, without DOCX and PDF. This means you add the final formatting, signature and attachments yourself in your email client.
Separately, it is worth noting the limits. The first field accepts up to 8000 characters, the details field up to 1000. Model responses may contain errors, and queue and service availability may change. Therefore, treat the result as a draft that necessarily passes your review.
Example filling: input — «Colleague asks if I can check the document by tomorrow. I can do this on Friday»; time — «until Friday»; goal — «agree on the deadline and maintain working relationships».
Criterion One: Accuracy of facts and deadlines
Accuracy is the correspondence of the generated text to real circumstances. First of all, check dates, days of the week, names, document names and deadline formulations. The model may swap 'tomorrow' and 'Friday' or replace 'check' with 'agree', which changes the meaning of the obligation.
Verify every statement against the original data. If your input had 'I can on Friday', the answer should not appear as 'I can by Thursday'. If you wrote 'preliminary review', there should not remain 'full check'. Such substitutions may seem harmless, but create false expectations for the recipient.
A useful practice — read the ready text aloud and mentally put yourself in the recipient's place. Will he understand exactly what you promise and what you do not promise? If the formulation allows double interpretation, replace it with an unambiguous one.
Draft: «I will check the document by Thursday». Check: in the original data it was 'Friday'. We correct to «I will check the document on Friday».
Criterion Two: Completeness of position and next step
A good business reply contains three elements: a clear position, justification if necessary and a specific next step. Position is your 'yes', 'no' or 'yes, but with condition'. Next step is the action you or the recipient takes further, with a deadline or responsible person specified.
Check that the next step has not been lost. The phrase 'I will contact you later' is not a step, a deferred decision. Better: 'I will send the edits by Friday at 18:00, so you can incorporate them before Monday'. Specificity reduces the risk of repeated correspondence.
Also make sure there are no extra obligations in the answer that you did not give. The model sometimes adds polite promises like 'I will be in touch 24/7' or 'I will prepare an alternative option', if you did not ask for them. Delete everything you are not ready to execute.
Full version: «I cannot manage by tomorrow. I can check the document on Friday before 15:00 and send comments the same day. If the deadline is critical, please suggest another checker».
Criterion Three: Suitability for sending
Suitability is the readiness of the text for real sending without additional editing. This includes tone, structure, absence of bureaucracy and appropriateness for the specific recipient. The answer should sound like it was written by a person, not a template from a manual.
Check the tone: it should not be excessively dry or obsequious. For business correspondence a neutral-respectful style is appropriate. If the draft has phrases like 'I hope you understand' in every paragraph, reduce them to one appropriate place.
Evaluate structure: greeting, essence, next step, closing. If the answer is longer than five-six sentences, break it into shorter paragraphs. And remember that the tool does not add signature and subject line — you need to enter them manually in the email client.
After editing: «Hello Anna. Unfortunately I cannot check the document tomorrow. I can do it on Friday before 15:00 and send comments immediately. Does this suit you? Regards, Igor».
How to check the result step by step
Step One: compare the draft with the original input. Write down three-four key facts from your description — deadline, action, condition, goal — and mark whether they are reflected in the answer without distortions.
Step Two: check the logic. Is there a clear position in the text? Is it clear what will happen next and when? If the recipient reads only the first and last sentence, will he grasp the essence?
Step Three: read aloud and edit. Remove repetitions, soften or strengthen the tone, add an address by name if appropriate. Only after this copy the text to email. Remember that downloading in TXT does not save formatting — line breaks and paragraphs will have to be set again.
Checklist: 1) deadline matches the original; 2) position is unambiguous; 3) next step is specific; 4) tone is neutral; 5) no extra promises; 6) greeting and signature added.
Limitations and typical errors
The tool does not know the context of your relationships with the recipient, the correspondence history and internal agreements. It does not check facts and does not bear responsibility for the content. If you provide unreliable data, the answer will be equally unreliable.
Among typical errors: vague next step, extra obligations, wrong dates, too formal or too familiar tone, as well as an attempt to use the same draft for different recipients without adaptation.
Do not forget about technical limits: 8000 characters in the first field, 1000 in the details field, export only in TXT. The tool is not suitable for legally significant correspondence without lawyer review and does not replace agreement with a supervisor. Perceive it as a draft accelerator, not as the author of the final letter.
The following situation is fictional and given as a learning example: colleague Anna asks to check the document by tomorrow, you can only on Friday. The draft helps quickly formulate a refusal and an alternative, but the final formulation you check yourself.
'Business Reply' saves time on the first draft, but the result quality is defined by your check. Verify facts and deadlines, make sure there is a clear position and specific next step, adapt the tone to the recipient and do not forget about limits and TXT format. Such an approach turns the generated text into a reliable business letter you are not ashamed before colleagues and partners.
