Start by acknowledging the request: “Thank you for explaining the issue.” State what you can do and ask one specific question if information is missing. Use “Could you confirm the order number?” instead of a vague request for details. End with the next step, but promise a deadline only when you can meet it. Before sending, check names, dates and attachments.
